01About these terms

These Terms of Service apply to the website visaluxehuahin.com and to all services provided by VisaLuxe Hua Hin ("VisaLuxe", "we", "us") to you ("you", "the client").

Your written quote or confirmation — sent by email, LINE or WhatsApp — forms part of our agreement. If anything in your quote differs from these terms, the quote applies.

02Our services

VisaLuxe is an independent consultancy. We provide advice, document preparation, translation, certification and legalisation, application completion and lodgement, appointment booking and, where included, accompaniment on submission or biometrics day.

We are not a government agency and are not affiliated with any embassy, consulate, immigration authority or visa application centre.

03No guarantee of outcome

Every visa and immigration decision is made solely by the relevant government authority. We prepare each case carefully, but we cannot guarantee that an application will be approved, the type or length of visa issued, or how long the authority will take.

04Quotes and fees

• We confirm the price and what it includes in writing before we start work.
• Where a price is described as all-inclusive, it includes the government or embassy fees stated on the relevant service page or in your quote.
• Government fees and exchange rates are set by others. If they change before we pay them on your behalf, we may need to adjust the price, and we will tell you before doing so.
• Extra work outside the agreed scope — for example additional translations or a change of visa type — will be quoted separately before we do it.

05Payment

Payment terms are set out in your quote. Unless agreed otherwise, we start work once payment has been received. Government and third-party fees that we pay on your behalf are passed on at cost and are paid directly to the relevant authority or provider.

06Refusals, cancellations and refunds

If your visa is refused

Where your package includes it, you may choose either a free re-application or a partial refund of our service fee, as described on the relevant service page and in your quote. Re-application must be requested within the time stated in your quote.

Fees that cannot be refunded

Government visa fees, levies, visa application centre fees, courier costs and other third-party costs are non-refundable once paid, whatever the outcome.

If you cancel

If you cancel before we start work, we refund the full amount paid, less any third-party costs already incurred. If you cancel after work has started, any refund depends on the stage reached, as set out in your quote.

07Your responsibilities

To give your application the best chance, you agree to:

• give us information and documents that are true, complete and genuine;
• tell us promptly about any change in your circumstances, including previous refusals or immigration issues;
• check the application details we prepare and confirm they are correct before lodgement;
• respond to our requests and to the authority's requests on time;
• make sure your passport has enough validity and blank pages;
• attend appointments, interviews and biometrics as required.

We will not knowingly submit false or misleading information. If we have reason to believe documents are not genuine, we may stop work without refund.

08Timelines

Any timeframes we give are estimates based on published information and our experience. Processing times are controlled by the authorities and can change without notice. We are not responsible for delays caused by authorities, visa application centres, couriers or events outside our control.

09Original documents

We take great care with original documents while they are in our hands and return them when your case is complete. We are not responsible for loss or damage caused by government authorities, visa application centres, postal or courier services, or events outside our reasonable control.

10Limitation of liability

To the extent permitted by Thai law, our total liability for any claim relating to a service is limited to the service fee you paid us for that service, excluding government and third-party fees.

We are not liable for indirect or consequential losses, including travel costs, cancelled bookings, loss of income or opportunity, resulting from a refusal, a delay or a decision by an authority.

Nothing in these terms limits liability that cannot be limited under Thai law.

11Confidentiality and privacy

We treat your documents and information as confidential and use them only to provide our services. How we handle personal data is explained in our Privacy Policy.

12Communication

We communicate by email, phone, LINE and WhatsApp. Instructions and approvals you send through these channels are treated as written instructions. Please keep your contact details up to date.

13Website content

Information on this website is general and is not legal advice for your specific case. Visa rules and fees change often, and we update the site regularly, but you should rely on the advice we give you for your case. All content, design and images on this site belong to VisaLuxe or are used under licence, and may not be copied without permission.

14Governing law

These terms are governed by the laws of Thailand, and the courts of Thailand have jurisdiction over any dispute. We will always try to resolve any concern with you directly first.

These terms are available in Thai and English. If there is any difference between the two versions, the Thai version prevails.

15Changes to these terms

We may update these terms from time to time. The version on this page applies to new engagements from its effective date. The terms in place when you engaged us continue to apply to your case.
